Clinic Manager:

The Clinic Manager oversees the day-to-day operations of the Quad City Animal Welfare Center’s Spay/Neuter & Wellness Clinic, ensuring high-quality, humane care for animals and professional, compassionate service for clients. This leadership role is responsible for managing staff and volunteers, maintaining clinic flow and efficiency, overseeing supply inventory, scheduling procedures, and ensuring the clinic operates smoothly and successfully in accordance with the organization’s mission and values.

Key Responsibilities:

Clinic Operations

  • Manage the daily operations of the spay/neuter and wellness clinic, ensuring a clean, efficient, and compassionate environment.
  • Oversee scheduling for spay/neuter surgeries and wellness appointments to maintain a smooth and effective workflow.
  • Monitor clinic performance to ensure high standards of care and customer satisfaction.
  • Ensure compliance with all safety, sanitation, and regulatory standards.

Staff & Volunteer Management

  • Supervise clinic staff and volunteers, including veterinary assistants, reception staff, and others as assigned.
  • Provide training, performance feedback, and ongoing support to team members.
  • Foster a positive, respectful, and team-oriented work environment.

Client & Animal Care

  • Ensure animals are treated with compassion and dignity at all times.
  • Promote excellent customer service and professionalism in all client interactions.
  • Handle client concerns or complaints with empathy and problem-solving skills.

Scheduling & Coordination

  • Coordinate daily, weekly, and monthly schedules for surgeries and wellness appointments.
  • Communicate with the shelter team regarding intake, surgery prep, and post-operative care.
  • Ensure accurate record-keeping and data entry for all procedures and appointments.

Inventory & Supplies

  • Monitor and manage clinic inventory, including ordering and organizing medical supplies, medications, and equipment.
  • Work with vendors to ensure cost-effective and timely procurement of supplies.

Reporting & Administration

  • Maintain accurate and up-to-date medical and operational records.
  • Assist the Executive Director in preparing reports and tracking clinic metrics.
  • Ensure proper use of veterinary and shelter software systems.

Development Coordinator:

The Development Coordinator is a key member of the QCAWC team, responsible for planning, implementing, and managing all fundraising and donor engagement activities. This role is vital to the organization’s financial growth and long-term sustainability and includes leading all major fundraising events and serving as Chairperson of the Event and Raffle Committee.

The ideal candidate will be a passionate, organized, and goal-oriented professional with a strong background in nonprofit development, event planning, and community engagement.

Key Responsibilities

Fundraising Strategy & Execution

  • Develop and implement a comprehensive fundraising strategy to increase annual contributions.
  • Plan, coordinate, and execute signature fundraising events such as trivia nights, golf outings, open houses, and new event initiatives.
  • Serve as Chairperson of the Event and Raffle Committee, leading efforts to plan, organize, and enhance event and raffle performance.
  • Manage donor stewardship programs to build long-term relationships and increase donor retention.
  • Identify and cultivate new revenue opportunities, including individual donors, recurring giving, and workplace giving programs.

Grant Writing & Corporate Sponsorships

  • Research and write compelling grant proposals to secure funding from foundations, businesses, and other grant-making entities.
  • Maintain strong relationships with current and prospective corporate sponsors and partners.
  • Track and manage grant deadlines, reporting obligations, and measurable outcomes.

Donor Relations & Stewardship

  • Cultivate and maintain relationships with individual donors, major gift prospects, and recurring supporters.
  • Oversee donor recognition activities, including thank-you letters, phone outreach, and impact communications.
  • Manage donor database systems and ensure accurate gift entry, acknowledgment, and reporting.

Marketing & Community Engagement

  • Collaborate with the Social Media & Marketing Director to develop effective fundraising campaigns and donor appeals.
  • Represent QCAWC at community events, networking functions, and public speaking engagements.
  • Work closely with the Executive Director, QCAWC Team Leaders, and the Board of Directors to align development efforts with organizational goals and mission.

Qualifications & Skills

  • Passion for animal welfare and commitment to the mission of QCAWC.
  • Bachelor’s degree in nonprofit management, communications, business, or a related field (preferred).
  • Minimum of 2 years of experience in fundraising, development, or nonprofit management.
  • Proven experience in event planning, grant writing, and sponsorship solicitation.
  • Excellent communication, networking, and relationship-building skills.
  • Experience using donor management software (e.g., DonorPerfect, Bloomerang, or similar).
  • Strong organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines independently.

Part-Time Maintenance/Handyperson:

Position Type: Part-Time | Flexible Schedule

Do you enjoy fixing things and helping animals? Join our team at the Quad City Animal Welfare Center, where your skills will directly support the care and comfort of animals in need!

We are currently seeking a dependable and skilled Maintenance/Handyperson to assist with the upkeep of our shelter and clinic facilities.

Key Responsibilities:

  • Perform light building maintenance and general repairs
  • Monitor and oversee work performed by outside service providers (plumbers, HVAC technicians, drain service, lawn care, snow removal, etc.)
  • Ensure that all areas remain safe, clean, and functional for animals, staff, and visitors

Qualifications:

  • Basic knowledge of maintenance and repair techniques
  • Ability to coordinate with and supervise third-party vendors
  • Strong organizational and communication skills
  • Self-motivated and able to work independently
  • Passion for supporting a mission that helps animals in need

Spay/Neuter Surgeon:

Location: Quad City Animal Welfare Center – Milan, IL Position Type: Part-Time (2 days/week) or Full-Time (4 days/week)

What You'll Do:

  • Perform spay and neuter surgeries for dogs and cats
  • Conduct pre-operative and post-operative exams

What We’re Looking For:

  • DVM or equivalent degree with the ability to obtain an Illinois veterinary license
  • A candidate currently residing in, or willing to relocate to, the Quad Cities area
